Fees for Wedding Planning Services.

1. Percentage of Your Wedding Budget

There are two types of business models among the planners. First, we have professionals who charge 10-15% of your wedding budget. We do not endorse this price structure because it is a form of price discrimination (yes, that is a real business term and it means discrimination based on your budget, social status, wealth, etc.). Why should you pay $10,000 (10%) if you have a $100,000 budget when your friend pays only $5,000 because her budget is $50,000? After all, the planner spends the same time planning for each of your weddings.

2. Flat Fees

The companies we analyzed charge a flat fee and are transparent when it comes to the amounts they charge. It is YOU who decides on the collection you need. Here are the collections offered by various planning companies. Please note that there are minor variations on the offerings of different planners.

2.1. Wedding Day Planning or Day of Coordination Package.

Despite the title that includes the word “Day”, this service includes more than that. Among others, here is what you are purchasing:

  • an on-site wedding coordinator during the ceremony, cocktail hour and reception to ensure your big day is perfect in every single detail
  • 1-2 meetings with the planning team
  • provide vendors contracts and review them with you
  • attend the rehearsal
  • help you create the seating chart
  • correspond with vendors and guests via emails and phone calls
  • offer recommendations regarding the wedding services you need
  • often they negotiate with the vendors on your behalf
  • supervise the setup of the reception
  • assist with paperwork
  • create a timeline
  • supervise breakdown and cleanup of the wedding venue

2.2. Month of Coordination Package or Partial Planning.

Includes the services in the Day Of Coordination collection plus:

  • an on-site wedding coordinator during the ceremony, cocktail hour and reception to ensure your big day is perfect in every single detail
  • 1-2 meetings with the planning team
  • provide vendors contracts and review them with you attend the rehearsal help you create the seating chart
  • respond with vendors and guests via emails and phone calls
  • offer recommendations regarding the wedding services you need
  • often they negotiate with the vendors on your behalf
  • supervise the setup of the reception
  • assist with paperwork
  • create a timeline supervise breakdown and cleanup of the wedding venue
  • additional meetings
  • help in selecting your wedding theme
  • coordinate vendor payments
  • advise on etiquette, traditions, professional tips
  • cue photographers, DJs and other vendors so that there are no hiccups on your big day
  • set up the decor

2.3. Full Wedding Planning.

This is the collection best suited for the bride who has the budget and does not want to be fully involved in the planning.

  • in-person meetings with the couple
  • unlimited correspondence on the phone, email, text, etc.
  • assistance in finding your wedding team
  • help with booking the right vendors for you
  • participate in venue walk through
  • prepare the timeline
  • plan the ceremony
  • help with the color scheme
  • help in selecting the theme of your special event
  • consult on etiquette matters
  • creation of the theme
  • creation of budget
  • budget management
  • vendor management (booking, negotiating contracts, etc.)
  • assist with invitations and track RSVPs, then update the budget accordingly
  • prepare the timeline for each vendor
  • accompany the couple to the various locations (venue, photo shoot location, etc)
  • creates a checklist with all the items that need to be brought to the reception (the list includes photos, favours, glasses, guest books, seating chart, seating cards, etc.

2.4. Micro Wedding Planning.

During 2020, to adapt to the new rules with respect to COVID-19 where the wedding size dropped from 100+ to under 10 people including the vendors, many planners have created micro wedding collections. If you are interested in such collection, please contact the vendors directly.

Average Wedding Planning Cost in Toronto

Based on our survey of companies in Toronto and surrounding areas, a whopping 97% of wedding planners charge on average between $1,000 and $2,500 for the Month of Wedding package. The most popular fee is $1,500 with 53% of the surveyed companies charging that amount.

For full wedding planning, 57% of the companies we surveyed in the Greater Toronto Area charge between $3,500 and $5,000 with the maximum of $20,000 for luxury event planning.

Why Do You Need a Wedding Planner?

There are a few reasons why hiring a wedding planner is a smart idea.

  • According to the industry experts, it takes about 250 hours to plan a wedding and if you are not a professional it can take you quite a bit longer. If you do the math, you will realise immediately that hiring a planner for $3,000 – $5,000 (average price of a Full Wedding Planning Package in Toronto) is actually a great deal!
  • The planner can save you thousands of dollars in fees ranging from flowers to photography and can advise you on what you need. Even more important, they will tell you what you do NOT need to make your day perfect.
  • The professional can keep things moving regardless of your busy schedule.
  • Often pro planners have strong relationships with photographers, decorators, makeup artists and other pros so they can negotiate amazing deals for you.

What to Look for in a Planner?

Match: the best professional in the world can cause you stress if your personalities don’t match. As such, one of the first things to consider is personality.

Experience: an experienced person can make an event a great success while a newbie can cause all kind of trouble on your big day. If you have the budget, do not hesitate and pay top dollars for a good planner.

Packages: while we outlined the services included in the collections are fairly standard, look for the fine print and hire the pro that meets your needs.

Fast responses and availability: to avoid unnecessary stress, you want to deal with a planner that answers your phone or returns your calls within hours, not days. The challenge is that the top-notch planners are very busy, but they also know how to grow their business without sacrificing service quality.

When to Hire a Planner?

Because of all the benefits outlined above, we advise that you hire a professional right after you say “I do.” The average engagement duration is 16 months, so that would be a great time to hire your dream coordinator.

Venue Coordinators or Wedding Planners?

Many venues provide their own coordinator. However, that person is not your hire and is employed by the event space. Your agendas are not aligned, and that can spell trouble. Also, the venue liaison is not involved in all aspects of your wedding.

Our advice is to hire your own planner. Period!

My Mom, My Friend or an Expert?

Unless your mother is an industry veteran, we suggest that you stick with the experts. Your mom will enjoy your day and you will thank us later.
